JOB OVERVIEW:

This position is responsible for managing the client development administrative staff and overseeing accurately tracking information/processes and see tasks through from beginning to end. Reporting directly to the LPS principals, the OM's primary responsibility is to create and monitor inbound prospect procedures and prospect follow up. The OM will work closely with the CDS and financial teams.

KEY RESPONSIBILITIES:

  • Accurately track processes and client statuses
  • Prepare regular status reports
  • Notify management of potential issues
  • Interface with clients to collect data when needed
  • Compile and summarize data from various reports
  • Maintain confidentiality with client and company information
  • Answer and direct phone calls
  • Organize and schedule appointments
  • Maintain contact lists
  • Liaise with other company administrative assistants to handle requests and queries from senior managers
  • Monthly reporting on CRM requests

SPECIFIC KNOWLEDGE & SKILLS:

  • Proven experience as an administrative assistant or office admin assistant
  • Comfortable working in Google Suite and cloud-based systems
  • Proficiency in MS Office, especially Excel
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Dental office experience a plus, but not required

GENERAL SKILLS & COMPETENCIES:

  • Good management skills and ability to motivate teams
  • Good verbal and written communication skills and ability to resolve disputes effectively
  • Good presentation and public speaking skills
  • Good decision making, analysis and problem solving skills with ability to multi-task
  • Ability to learn applicable computer systems and other business required competencies
  • Understand financial information that impacts department
  • Ability to plan and coordinate successful projects
  • Communicate effectively with team(s)

MINIMUM WORK EXPERIENCE:

Typically 4 or more years of related support experience; 3 or more years of management experience.

PREFERRED EDUCATION:

Typically a Bachelor's Degree or global equivalent in related discipline.

TRAVEL / PHYSICAL DEMANDS:

Travel typically less than 10%. Office environment. No special physical demands required.
